Finding New Systems For Your Business

I recently decided to change my CRM system. Some of you have done this before and you know my pain! If you’ve never started in one system and then decided it wasn’t the right fit and you needed to change it up, then let me tell you.

It is a BIG project! Not only do you have to move everything into a new system, but you have to actually DECIDE which system you want to move into.

As me and my team have been working on this, it made me realize that we often are coming at this from the entirely wrong perspective.

Most of the time we start these projects by looking at ALL the amazing things these systems CAN do for you. It can be exciting, eye opening and sometimes overwhelming when you realize the vast possibilities they can open up.

It can be easy to get swept away by all the bells and whistles and shiny features. And then half the time you end up in a system that doesn’t really do what you need, AGAIN, and you have to go through this process ANOTHER TIME!

I want to challenge you to switch things up. Instead of starting by researching the software, why don’t you start by identifying exactly what YOU need it to do?

The best way to do this is to start by writing down your ideal process.

For example, let’s take a CRM. Before you start looking into systems, first write down your ideal process. Think through your lead management, customer onboarding, customer retention and customer offboarding. In a perfect world,  what would you want to happen? Sky’s the limit here! Dream big and write it all down on paper.

Now, look over what you wrote. What features in a CRM would you need to make those things happen? Maybe you said something like once the contract is signed you would like an automated invoice to go out to them. Maybe you would like some kind email funnel automation for your leads to go through. Maybe you want to be able to easily deliver templated emails to every customer when they onboard.

Once you know what you need it to do, NOW is the time to go look at all of the systems out there, compare features, set up demos and figure out which is the right fit for you. Since you know exactly what you need from it, you can contact their sales team and find out how their system can do what you are wanting done.

I promise, this little change in the process of finding a new system will be a game changer for the project!
