Time Management Tips For Virtual Assistants

When you become a virtual assistant, you realize the two most important aspects of creating long-term engagements with your clients: 

  1. Communication is KEY.
  2. If you can manage your time efficiently, you can have time for your clients AND yourself (without feeling completely and utterly drained.)

Sometimes you get so caught up in making your clients happy and meeting deadlines, that you forget to show up for yourself, which is a MUST. 

Because you can’t pour from an empty cup. 

So how do you make time for yourself without falling behind with your clients? 

Use time-blocking – set working hours, and try to stick with them. Block out time on your calendar for certain projects/clients, and only do those during those hours. It could even help to block out your YOU time on your calendar as well. You know yourself better than anyone, so if you struggle with procrastination or needing little 5 minute breaks every 30 minutes, take this into account when time-blocking.

Make task lists, or keep a journal – If you use a CRM system, then this could be done there; but if you are a very visual person, it can help to make daily to-do lists to prioritize what needs to be done first each day, especially if you’re working with a lot of deadlines. If you like to get your thoughts out onto paper, keeping a journal can be extremely beneficial for you! If you find yourself getting stressed out mid-day, grab your journal and write away for some relief!

Make self-care a PRIORITY – If you’re doing the last two things, then this shouldn’t be too hard because you already have time in your day to make your self-care a PRIORITY! Whatever it may be, going to the gym, going out for lunch with your friends, taking off early on Fridays to spend the evening with your family, etc…block out time in your schedule for you. 

If you let things fall through the cracks, you’ll start spending all of your time catching up, neglecting your self-care and it could turn into a never-ending cycle. That’s why time management is KEY.
